CHROMEBOOK 1:1 PROGRAM

At the beginning of the school year, the district will assign a Chromebook to each student grades 1st-12th. Students grades 1-4 will have access to their own device during the school day.  Each Chromebook will remain the property of the school and is for use by the student until the end of the current school year, at which time the Chromebook will be returned in working condition to the school.

All students in regular education* in grades 5-12 are REQUIRED to check-out and use a school-issued Chromebook.  Students in grades 1st-4th are REQUIRED to use a school-issued Chromebook, but devices will be checked out to the student and kept in their home room classroom.

CHROMEBOOK CHECKOUT REQUIREMENTS

Students and parents must:

  • Review Collinsville Public Schools Chromebook Device Policy

  • Purchase the Chromebook Protection Plan or opt out and assume the obligation of all repair and replacement costs due to damage or loss

    • You can pay $30 (Grades 5-12) or $15 (Grades 1-4) with a debit or credit card by using our online payment form.  For 1st-4th grade students click here.  For 5th-12th grade students click here.

    • The cash charge is $35 (Grades 5-12) or $20 (Grades 1-4), payable at the time of Chromebook checkout. 

A device cannot be checked out to a student until the student and parent either pay the Protection Plan payment or opt out of coverage.  For returning students entering grades 1-12, the insurance program must be renewed each year.

WHAT IS A CHROMEBOOK?

The Chromebook is a personal computer designed to work with Google for Education web-based applications.  The district chose this device as the best fit for the needs of the students in terms of processing speed, ease of operation, productivity, and cost-effectiveness.  The district will purchase and retain full ownership of the Chromebooks and will have measures in place to prevent the inappropriate use of the device and/or internet in keeping with District Technology Policy 3.21.

GENERAL CARE GUIDELINES

  • Do not place food or drink near the device

  • Insert cords, cables and removable storage devices carefully.

  • Do not deface the device with writing, drawings, stickers, labels, etc. Chromebooks are district property and must be returned in the condition they were checked out.

  • Do not remove any district labeling or tags.

  • Do not place heavy objects on the device.

  • Chromebooks must be kept secure and protected when not in use.

  • Always carry the device with care; the screen should not be open when being carried.

  • Do not lift the device by the screen.

  • Clean the screen only with a soft, dry microfiber cloth or anti-static cloth. DO NOT USE CLEANING SOLVENTS OR OTHER LIQUIDS ON THE SCREEN.  For sanitizing methods see below.

  • Always keep the Chromebook in the District-issued protective case. Although the case is reinforced to help protect the Chromebook, it is not guaranteed to prevent damage. It remains the student’s responsibility to care for and protect the device. 

HOW DO I SANITIZE MY CHROMEBOOK?

  1. Power off the device.  You will be applying liquid solutions to your Chromebook, so powering it off is a must.

  2. Remove any accessories or plug-ins such as cases, USBs, and headphones.  Once removed, cases can be separately disinfected with sanitizing wipes or spray.

  3. Clean the screen with an LCD-save solution applied to a microfiber cloth.  Strong alcohols can eat away the coating on LCD screens.  However, LCD-safe solutions such as 50% isopropyl alcohol (diluted with distilled water) and dimethyl benzyl ammonium chloride can be used to properly disinfect Chromebook screens.  Never use Windex or similar products, which contain ammonia, and never use any solutions containing acetone, ethyl alcohol (ethanol, ethyl acid, or methyl chloride.  Also, while diluted vinegar may be safe for removing dirt and smudges from LCD screens, it's not an effective disinfectant against many types of common germs, including those that cause colds, flu, and viruses.

  4. To clean, wet a microfiber cloth in LCD-safe solution so that it's damp enough to feel wet, but not damp enough to create any drips (drips are bad.  In extreme cases they can ruin the bottom edge of your screen if they get sucked between the layers of the LCD through capillary action).  Rub the microfiber gently on the screen in a back-and-forth motion, using the broadest strokes you can.  Avoid small circular motions, which can sometimes leave buffed-out spots or whorl marks on the screen.  Never use paper towels, kitchen rags, or any type of cloth other than microfiber.  These could damage your screen.

  5. Use 70% isopropyl alcohol applied to a soft cotton rag to wipe down the keyboard and external chassis.  DO NOT spray your device with disinfectant.  It's important that the solution is applied to a rag or cloth first so that liquid doesn't seep into the keyboard.  This can damage the keyboard itself or important components housed beneath it.  CAUTION-70% Isopropyl alcohol is highly flammable, so keep it and anything covered in it away from any sources of ignition.

  6. Wait for the alcohol solution to completely evaporate before turning your Chromebook back on.

What do I do with my Chromebook over the summer?

Collinsville Public Schools is supporting an effort for all 5th thru 11th-grade students to keep their school-issued Chromebook over the summer!  Keeping their device promotes student ownership of devices and drastically reduces the amount of instructional time lost to collecting and distributing Chromebooks each year.

Learning Continues: Students are encouraged to use their Chromebooks to pursue academic learning, hobbies, and other passions as long as those pursuits would be appropriate on a school-issued device.  Examples include but are not limited to computer coding, audio-visual production, reading, writing, and STEAM (Science, Technology, Engineering, Art, and Math) activities. High school students should also consider using the summer months to research colleges and universities.

Storing the Chromebook: Even if a student does not intend to use the Chromebook over the Summer, we ask families to simply store the device at home.  Doing so guarantees that students will have access to their Chromebook and charger on the very first day of school and avoids potential delays during student registration and schedule pick-up.  These devices do not require regular maintenance over the Summer and can be safely stored on a shelf with the charger.  Additional tips for storing a Chromebook can be found here.

Content filters: Student devices will continue to be filtered according to local, state, and federal policies by the same cybersecurity tools as they did during the school year. These automated tools will only alert the school of imminent threats to student safety using Lightspeed Alerts. You can read more about this here.

Device damage: Any damage to Chromebooks between May 18 and August 10, 2023 (the time between the end of school and the beginning of the 2023-2024 school year) can be repaired through the Technology Department.  Please email helpdesk@collinsville.k12.ok.us  to set up an appointment for repair.  Any damage that is not repaired over the summer will be repaired in the fall, according to the current Chromebook Handbook. Students are still responsible for damage due to negligence, just as they are during the rest of the school year. 

Chromebook Insurance for 2023-2024: Beginning August 1, 2023, students are again required to complete our annual Chromebook Device Agreement and will be given the opportunity to purchase our annual Chromebook Protection Plan. Specific deductible charges for repairs and loss/theft can be found in our Electronic Device Agreement

Lost or stolen Chromebooks: During the summer, a lost or stolen device should be reported immediately to helpdesk@collinsville.k12.ok.us. If you are moving out of the Collinsville Public School District during the summer vacation months, you are required to turn in your device, charger, and protective case; otherwise, a charge will be assessed for a full replacement of the device. There are a few options that you can choose from to turn in your device.

  • You may return your child’s device to Collinsville Public School District Education Service Center located at 1902 West Maple, Monday through Thursday, between 8 am and 3 pm.

  • Email helpdesk@collinsville.k12.ok.us and make an appointment to return the device to the district’s Technology office located at 402 N 17th Street.

No action is necessary to participate in the Summer Chromebook program. If a student has unpaid debt due to Chromebook repair, the device will not go home with the student over the summer.  All debts paid by the last day of the school year will allow the device to go home.

Senior Chromebook Purchase

As part of our 1:1 take-home program, Collinsville Public School District will offer graduating seniors the option to purchase a Chromebook, charger, and carrying case.  This is consistent with Collinsville Public School District Disposition of Surplus Policy 5.5.  Students who decline to buy the Chromebook, charger, and case will return all three pieces to the high school office by May 11th, 2023, after finals.  (Seniors can return Chromebooks outside the main office from 11:30 am - 12:30 pm and 3:00 pm to 4:00 pm Thursday, May 11th)

How will this work?

  • The cost of each Chromebook will depend on the model of each Chromebook.  Below is a chart of each model and the cost to purchase.

  • To purchase a Chromebook, charger, and carrying case, students will visit the High School office and pay.

  • The Collinsville Technology Department will verify the purchase and mark the device as “Senior buy” in the district’s inventory.

  • Once the purchase has been verified, the Collinsville Technology Department will de-provision the senior device and initiate a remote “wipe” to their Chromebook to reset it to factory defaults and remove it from Collinsville Public Schools management.  If the remote reset does not work, follow these instructions or contact the Collinsville Technology Department.

  • The student will then be able to take a unit with them at the close of the school year.

Chromebooks purchased by students will be removed from the district network and security protocols following graduation; a district login will no longer be required to use the device.

Please note students should reference information regarding Google/Chrome support for the Chromebook model at Google Chrome Enterprise Help Auto Update policy and know that these units are sold “as is.”  The Collinsville Technology Department will not support the devices after the district’s network, and security protocols have been removed.

After graduation, your Google Workspace student account and all of the content (documents, presentations, saved media, emails, and so on) associated with those accounts will be deleted.  Students will have until July 1, 2023, to transfer files from school accounts to personal accounts.  

One of the easiest ways to transfer files from your school account is to forward and/or share the files with a personal Gmail account.  If you don’t have a free Gmail (Google) email account, go to the Google homepage, click on Create an account and follow the instructions to create a new email account.  Once you have a valid Gmail account, you may use this address to change ownership of your current Google Workspace files.  

Another option is Google Takeout which will create a file with all of your Google docs, emails, etc., excluding websites you may have created.  You can put this file on a flash drive or in a personal google drive account.  You may choose which items you want to save.  Instructions for Google Takeout are available at “Transfer Your Content.”

A police report will be filed for any senior devices not returned or purchased within five days of Graduation.  For questions or concerns, email Collinsville’s Technology Department at helpdesk@collinsville.k12.ok.us.
